Situation:
You have purchased Auto Attendants from us, and want to load them into your TalkSwitch system.

Please note: this article does not apply to loading Voicemail Greetings for TalkSwitch 24, 48, or 48-NLS systems running firmware version 2.41 or earlier. (For assistance in determining which firmware version your system is currently running, consult your TalkSwitch documentation.) How to Load Voicemail Greetings into a TalkSwitch System Running Firmware Version 2.41 or Earlier
The following instructions assume that your TalkSwitch is connected to a PC loaded with the TalkSwitch System Configuration software. However, your TalkSwitch does not need to remain connected to a PC during normal operation.
If connecting your TalkSwitch to a PC is impractical, or if you do not wish to load them yourself, you may have your Auto Attendants and/or Voicemail Greetings loaded into your TalkSwitch system directly from our production facility. We will connect to your system remotely and upload each recording, using proprietary equipment specifically designed for this purpose. There is a nominal fee for this service. Please call us at 888-939.6865 to arrange for this service.
- If you received your Auto Attendant(s) and/or Voicemail Greetings on CD, place the CD you received from the On Hold Network into your
CD-ROM drive. If you received them via e-mail or download, save the file(s) to the TalkSwitch directory on your hard drive (by
default, this is C:\Program Files\TalkSwitch). If you want to listen to the files in order to confirm which Auto
Attendant or Voicemail box corresponds to which file, you may play them directly from your CD or hard drive using the Windows Media Player application on your PC. They cannot be played on a conventional CD player.
PLEASE NOTE: Even though these files have a '.WAV' extension, they are encoded in a special format used by telephone systems. 'Normal' .wav files, MP3 files, or other audio files cannot be loaded into a TalkSwitch system. For more information about this special encoding, please consult the following Knowledgebase article:
About the On Hold Network's Proprietary µ-law Codec
- Launch the TalkSwitch Configuration Utility from your PC. If you have set a password, you will need to enter it on the next screen, then click OK. After the current configuration is retrieved, the opening screen of the TalkSwitch System Configuration software should appear.
- If you wish to load Voicemail Greetings only, you may proceed to Step 12.
- To load Auto Attendants: Using the navigation pane on the left side of the TalkSwitch System Configuration software, click on the '+' sign next to 'Call
Handling' to reveal more options. Under the 'Call Handling' category, select 'Auto Attendants'. NOTE: If you have multiple TalkSwitch units networked together, it does not matter into which unit you choose to load a Auto Attendant. When an Auto Attendant is loaded into any networked system, it will be automatically copied to all the other units over the network.
- Using the tabs (numbered 1 through 9) in the Auto Attendant settings window, select the Auto Attendant location slot you want to load a file into.
- At the bottom of the Auto Attendant Settings window, click the Load Auto Attendant button (loaded in the middle of the three buttons found there).
- In the window that appears next, you will receive a warning that Auto Attendants must be encoded as an 8 kHz, 8-bit mono u-law .wav file. If you purchased your Auto Attendants from the On Hold Network, they are already in the proper format. Click 'Yes' to continue.
- Navigate to the location of your Auto Attendant file(s) (CD-ROM or hard drive as determined in Step 1). Auto Attendant files are
labeled 01_AUTOATT.WAV, 02_AUTOATT.WAV, and so on. The number of files you received is dependent on the number of
Auto Attendants you ordered. File numbering is based on the script that corresponds to your order.
- Choose the file corresponding to the Auto Attendant you wish to load, then select Open.
- Wait for the Auto Attendant to finish loading. Load progress is indicated in the blue progress bar in the small window that appears. Upon successful completion, the progress window will close. The Auto Attendant for this slot has been successfully loaded.
- If you wish to load another Auto Attendant, repeat this procedure from Step 5 for each one. When you are finished, you may continue to the next step to load Voicemail Greetings. If you do not have any Voicemail Greetings to load, proceed to Step 20.
- To load Voicemail Greetings: Using the navigation pane on the left side of the TalkSwitch System Configuration software, click on the '+' sign next to 'Voicemail' to reveal more options. Under the 'Voicemail' category, select the type of mailbox this greeting is for: 'Local Ext. Voicemail', 'Remote Ext. Voicemail', or 'General Voicemail'.
- Using the tabs in the Voicemail Settings window you selected, select the voicemail box you wish to load the greeting into.
- Click the 'Load Greeting' button located to the right side of the window.
- In the window that appears next, you will receive a warning that Voicemail Greetings must be encoded as an 8 kHz, 8-bit mono u-law .wav file. If you purchased your Voicemail Greetings from the On Hold Network, they are already in the proper format. Click 'Yes' to continue.
- Navigate to the location of your Voicemail Greeting file(s) (CD-ROM or hard drive as determined in Step 1). Voicemail Greeting files are
labeled 01_VOXMAIL.WAV, 02_VOXMAIL.WAV, and so on. The number of files you received is dependent on the number of
Voicemail Greetings you ordered. File numbering is based on the script that corresponds to your order.
- Choose the file corresponding to the Voicemail Greeting you wish to load, then select Open.
- Wait for the Voicemail Greeting to finish loading. Load progress is indicated in the blue progress bar in the small window that appears. Upon successful completion, the progress window will close. The Voicemail Greeting for this mailbox has been successfully loaded.
- If you wish to load another Voicemail Greeting, repeat this procedure from Step 13 for each one.
- If you wish to adjust any of your other TalkSwitch settings, you may do so now. Don't forget to select 'Save to TalkSwitch...' from the File menu so that your settings will take effect.
- When you are finished, close the TalkSwitch System Configuration software.
- We strongly suggest you test your Auto Attendant and Voicemail Greeting configuration by calling into your TalkSwitch system from an outside line. Listen to the Auto Attendants and Voicemail Greetings, and choose each of the functions you've enabled to assure your settings work as intended.
